Adding Staff and Assigning Permission Based Access

With Hot Giggity, you can be sure that all of your staff are on the same page.

You are able to add as many staff members as necessary, assigning permission-based access depending on their job function.

To add and manage your staff, follow the steps below.

1. Go to Manage / My Venues and click  'Edit' on the venue you are wanting to manage.  This will open the Edit Venue page. Now navigate to the Members tab.

2.  In the Staff Members section, click Add. This will open the Staff invite pop-up.  In the search bar, you can search for an existing user or type the name of your new staff member. If they are not already on the platform, you will be shown the option -  'No User Found - Click to Invite'. Clicking this will open the full invite card.

Complete all of the necessary fields and then select the permissions you would like to assign to the user.

The permission options are explained below:

Edit Venue Profile: This gives the user permission to edit the venue profile information and images.

Manage Bookings: This allows the user to create, edit or cancel bookings.

Pay Invoices: This allows the user to download incoming invoices, send them to your accounting system, or mark them as paid. Perfect for your accounts team member.

Manage Venue Staff: This allows the user to add, remove, or edit staff permissions

Manage Promotions: This gives the user access to the Promotions tab to manage the venue's social posts, venue promotions, and gig promotions.  This is perfect for your marketing team be they internal or an external agency.

View Only (No Financials): This functionality means that the user can only see a list of upcoming bookings without fee details.

Hitting Add Member will add the staff member to the Staff table.  You will then need to click the Save button on the bottom right.  You must hit Save in order for the team member to be invited.

This team member will then be sent an invite email prompting them to sign up. They will then see only the menu options you have given them access to.
