Creating Agency Exclusive Acts

Hot Giggity recognises the importance of maintaining exclusive artist/agency relationships. To manage this, we have provided functionality that allows an Agency to create an Exclusive Act on the platform,  ensuring that any inquiries for performances are directed to their designated exclusive agent. 


Below, we guide you through the process of creating an exclusive act and inviting band members to the platform, enabling you to manage bookings and negotiations seamlessly.



Creating an Agency Exclusive Act


Navigate to Manage / My Act Roster and select the Agency Exclusive Acts.




1. General Tab


Lineup: This option enables you to specify the number of members in your act. Selecting a number automatically configures the appropriate number of slots in the Lineup section, preparing your act's configuration.


Act Type: Define the nature of your act (e.g., Musician/Band, DJ, etc.), to help categorize and identify the right opportunities.


Act Name: Enter the name your act will be recognized by on the Hot Giggity platform.


Email / Phone Number: Your contact information will be prefilled here. You have the option to make these details visible or hidden on your act’s public profile.


Address: Key for platform searches. Ensure you complete all the necessary fields to optimize your act's discoverability.


Vibes: Choose from options like Chilled, Middle of the Road, or Party to describe the atmosphere your act can create.


Genres: This selection helps hirers find your act based on musical or performance genres, also contributing to your presence in the Hot Giggity live gig guide app.


Gig Types: Specify the kinds of events you are available for, enhancing your visibility to potential hirers looking for specific performance types.


Bio: Craft a compelling biography that highlights the unique aspects and selling points of your act. This is your chance to make a memorable first impression on potential clients and fans.




2. Profile Design


This section is dedicated to enhancing the visual appeal of your act's public profile through media and information.


Profile Image: Select an avatar for your act that will be displayed across the platform. This image serves as the primary visual identifier for your act, so choose a photo that captures the essence of your performance.


Background Images: Upload up to 4 images that will be featured in the header of your act's profile. These images not only enhance the aesthetic of your profile but are also utilized in various promotional elements across the platform. Consider selecting high-quality, engaging photos that reflect the mood and style of your act, as they play a crucial role in attracting potential clients and fans.






Profile URL: Customize your act's profile URL to reflect your act's name, making it easily shareable and memorable. This unique URL can be distributed to anyone, offering a direct link to your act's online profile on the platform.


Links: Utilize this section to connect your act's profile with its online presence across various platforms. Add fully formed URLs to social media profiles, YouTube, Spotify, Apple Music, and more. For instance, use https://www.yourwebsite.com as the format for entering your web addresses. This feature allows potential clients and fans to explore your act's content across the web, enhancing your visibility and engagement.


Media:


Video: Elevate your profile by adding video content. Include links from YouTube or Vimeo that showcase your act's performances. Ensure that the videos have embedding enabled, allowing them to be viewed directly on your act's profile. This visual content is crucial for engaging visitors and giving them a taste of your live performance energy and style.


Audio: Complement your video content with audio. You can add a link to a single track or an entire playlist from Spotify or SoundCloud. Audio content lets visitors listen to your music directly from your profile, offering a deeper dive into your act's musical abilities and style.


Incorporating a mix of video and audio media into your act's profile not only enriches the visitor experience but also provides a comprehensive showcase of your talents, helping you stand out on the platform.




Played At: This section is designed to showcase the venues and events where your act has performed. Use it to inform visitors about your act's experience and the types of audiences and venues you've engaged with. Listing prestigious or well-known venues, festivals, or events where your act has made an appearance can significantly boost your act's appeal and demonstrate your experience in the industry.


Testimonials: Testimonials are powerful endorsements of your act's performance quality and professionalism. In this section, include positive feedback and reviews from previous clients, event organizers, or audience members. These testimonials can greatly influence potential clients' perceptions by providing social proof of your act's talent and the positive experiences others have had with your performances.



3. Integrations Tab


This allows you to embed a gig guide on any website and to connect the act to your social media accounts.





4. Lineup Tab

Efficiently organize your act's lineup, assign roles, and manage gig fee distributions through the Lineup Tab.


Setting Up: Automatically, the number of performers is filled based on your selection in the General tab.


Assign Roles: For each member, specify their instrument or skill set.


Fee Distribution: Decide how gig fees are split among performers. Options include percentages or fixed amounts.


Adding Performers: Enter a performer's name in the 'Search Musician / Performer' field to add them. If they're not on the platform, you'll get an option to invite them.





Inviting Artists to Your Lineup


To add artists to your lineup:


Send Invite: Input the artist's name and email, then click 'Send Invite'. The artist will appear in your lineup marked as 'Invited'.


Email Notification: Invited artists receive an email notification with a link to join the platform and create a free account.


Acceptance: When an artist accepts the invite, you'll be notified, and their status updates from 'Invited' to 'Accepted'.


Important: Artists must accept their invitation and gig offers for bookings to be finalized in Hot Giggity.




5. Song List

The Song List feature allows you to showcase your act's repertoire on their profile, facilitating the creation of set lists.


Add Songs: Include each song's name, the artist's name, and a media URL link to online video or audio.


Public Profile Display: Use the 'Top Songs' toggle to highlight up to 12 songs on the act's public profile.

This feature enhances your act's profile by giving potential clients a taste of their music and performance style.




6. Set Lists

This section allows you to curate set lists for your act, making it easy to organize and distribute song lists to players for each performance. 





7. Terms and Conditions


You can use this section to create contracts that will apply for any booking for this act. 




8. Privacy

In this section, you have the control to set your act's visibility on the platform. Choose whether to make the act publicly visible to all users or to keep it private, according to your preference and strategy for exposure.




Finalizing Your Act Setup

To complete your act setup:


Save and Proceed: Click 'Save/Next' to finalize the setup process. This action redirects you to your Agency Exclusive Acts tab.


Act Card Display: Your act will now be shown on an act card, indicating it's ready for bookings.


Draft Status: If the act card displays a 'draft' status, it means the setup is incomplete, and you won't be able to create bookings for this act. Ensure all necessary information is filled in to move your act out of draft status and make it bookable.




To access and review your act's profile on the platform, simply click on the act's name. This action will take you directly to their detailed profile page, where you can see all the information and media you've set up for them.


If you would like to make any changes, can then return to the Agency Exclusive Acts screen, and hit Edit on the act card. You can then use the Edit Act to navigate to the necessary tab and make changes.
