Forget the hassle of contacting artists to check their availability. With Hot Giggity's innovative Booking Station, you can view your venue and artist calendars simultaneously, making it a breeze to match venue availability with artist schedules.
The Booking Station is your go-to hub for creating most of your bookings.
1. Navigate to the Booking Station: To get started, simply select the Booking Station from the main menu.
2. Select the venue - use the drop-down in the Venues Calendar to select the venue you are going to book. This will then load all of the bookings for this venue.
Please note, this will show a list of venues where you have been designated as an approved agent.
3. Select the act: Choose the act you wish to book by using the drop-down menu in the Acts Calendar. By default, it displays all acts from your agency's roster. For a streamlined selection, click the "Use Venue Favourite Acts" checkbox to filter acts featured in the venue's favourites list.
Upon selecting an act, their calendar will appear, showcasing the act's existing bookings and open dates, allowing you to easily identify their availability.
If the act owner has multiple acts, and any of those acts are booked, all other acts will be shown as Unavailable.
If the act owner has connected their Google Calendar, all events in their Google Cal be shown as Unavailable.
4. Select a date to create the booking - Once you have both the act and venue calendar selected, clicking on a date in either calendar will open the booking sheet. The booking sheet will automatically be populated with the date, the venue, and act details.
5. Complete the booking sheet - On the booking sheet, complete the gig start and end time, load in and soundcheck times.
You can then update the Gig fee to venue excluding tax (GST, VAT etc), and agency commission in an amount or percentage. This will automatically calculate the fee paid to the act.
Update the Gig requirement. The Production Requirements, Notes, and Venue Contract, will automatically populate from the venue worksheet template settings. Your Agency contract will be automatically populated from the Terms and Conditions section of your agency profile settings.
