Creating Bookings - The Booking Station

At Hot Giggity we are all about making your life easier. 


Gone are the days of having to contact your artists to see if they are available.  Hot Giggity's unique Booking Station allows you to see your venue calendar and artist calendar side by side - to quickly see availability for the venue and the artist side by side.


The Booking Station is where you will create the majority of your bookings. 


1. To access the booking station, click on the Booking Station in the main menu.




2. Select the venue - use the Venues Calendar drop down to select the venue you are going to book.  This will then load all of the bookings for this venue.



3. Select the act - use the Acts Calendar drop down to select the act that you are wanting to book. This will show all of the acts that you have added to the venue at roster.


Selecting the act will load the calendar for the act you are wanting to book, and will show the act's bookings and availability.  

If the act owner has multiple acts, and any of those acts are booked, all other acts will be shown as Unavailable. 


If the act owner has connected their Google Calendar, all events in their Google Cal be shown as Unavailable.  




4. Select a date to create the booking -  Once you have both the act and venue calendar selected, clicking on a date in either calendar will open the booking sheet.  The booking sheet will automatically be populated with the date, the venue and act details. 


5. Complete the booking sheet - On the booking sheet, complete the gig start and end time, load in and soundcheck times.  Update the gig fee paid to act excluding tax (GST, VAT etc).


Update the Gig requirements including the number of sets, dress requirements, vibes and suggested genres.  

The Production Requirements, Notes and Venue Contract, will automatically populate from the venue worksheet template settings. 


Once the booking sheet is complete, hit Process Booking. This will open the booking summary form. Select 'Notify Act' and hit Save Booking.  

The system will return you to the Booking Station and show the booking as dark blue, indicating that it has been sent to the artist.
