Adding Acts To Draft Bookings & Sending Booking Request to Artist

Once you have created the draft bookings, you only need to add the act. This will massively speed up the process of managing your gig bookings.  To learn more about the process for creating draft bookings, see this support article.


There are two ways of doing this - either via the My Gigs section or via the Booking Station. 


Adding Acts via the My Gigs section.


1. Click on the My Gigs tab in the main menu.  This will show a breakdown of your Draft Bookings, Booking Requests, Upcoming Gigs, Completed Gigs, Cancelled Gigs, and All Gigs.  You can use the Venue and Month filters at the top right. You will then see the draft bookings you have created.   To open the Booking / Worksheet, click Detail.  This will open the booking sheet.



2. Adding the Act.  In the booking sheet, scroll down to the Act Detail section.  Click the drop-down to select the act. The system will only show you the acts in your act roster that are available at the date and time of the booking.


Selecting the act will update the Event Title. You can manually overwrite this if necessary.   This will also populate all of the details for the act owner, including their contact information, Public Liability information, and certificate of currency.





3. Save the Booking and send the booking notification to the act.  Scroll to the bottom of the booking sheet, and click Process Booking.  This will open the booking summary. Check Notify Act and hit Process Booking. 


This will send the booking request to the act owner (they will be notified via email and the Hot Giggity app notification), and you will be taken back to the My Gigs section where the booking will then be shown in the Booking Requests tab, with the status 'Sent To Act'. 





You will be notified when the artist accepts the booking, you will be notified, and booking will then move to the 'Upcoming Gigs' tab.
