Creating & Editing Your Agency Profile

Step 1: Access the Agency Profile Section

Navigate to Manage > My Agency Profile


The first tab displayed is General. Enter your Agency Name, Contact Details, and Address (used for invoices). Fill out the Bio section to introduce your agency to potential clients and artists. Click Save/Next to proceed.


Step 2: Profile Design

Upload a Profile Image that will be displayed publicly. Add a Background Image to enhance your profile’s appearance. Set a Profile URL (a custom link to your agency profile on Hot Giggity). Add social media and external website links to increase visibility. Upload Media Content to showcase your agency’s work. Add Testimonials from venues, artists, or corporate clients. Click Save/Next to continue.




Step 3: Integrations

Embed your Upcoming Gigs Widget on your website using the provided embed code. Customise the widget colours using the Customise Gig Widget button. Connect your agency profile to Instagram and Facebook to schedule gig promotions.  Click Save/Next to move forward.  More information on this process, vist this support article




Step 4: Financial Settings

Choose your preferred Currency and Tax Settings. Enter your ABN (if applicable), Bank Account Details, and BSB Number which will be shown on your invoices to venues / clients.  Set Outgoing Invoice Payment Terms (e.g., 30 days) and select Payment Options (e.g., Direct Deposit). Configure Invoice Batching Frequency for incoming invoices from artists. For more information on invoice management, visit this link. Click Save/Next to proceed.



Step 5: Insurance Details

Some venues require public liability insurance. Enter Policy Holder Name, Insurance Company, Policy Number, and Expiry Date. Upload a copy of your Insurance Policy Document (maximum file size: 8MB). Click Save/Next to continue.



Step 6: Terms & Conditions

Define your Act Contract, which all artists must agree to when accepting bookings. Customise your Client Contract, which applies to function bookings. Use the rich text editor to format your contracts as needed. Click Save/Next to move on.



Step 7: Privacy Settings

Enable or disable Profile Privacy to control public visibility. Turn on the Allow Invites from Acts setting if you want artists to apply to join your roster. Click Save/Next to finalise your profile setup.
