Audience: Venues (hirers)
Goal: Make sure SG (12%) is shown, tracked, and paid correctly and on time.
1) Check that every artist has super details in HG
Artists add their own super details in their profile. You can verify from your roster:
Path: Manage → My Act Roster
Click ⋯ → View Super Account Details to see Fund name, ABN, USI, and Member number.
If details are missing for a sole-trader artist, payment of their invoice may be delayed until the details are provided.
2) Choose the fee model on each booking (venue view)
On the booking sheet you’ll see a single toggle:
Fee includes super (ON) → Inclusive: the gig fee you enter already contains SG. HG backs out the SG portion (GST-free) and GST applies only to the taxable fee.
Fee includes super (OFF) → Plus super: the gig fee is the bank amount; SG (GST-free) is added on top.
Notes:
Super applies only to sole-trader performers; companies/trusts/partnerships do not trigger SG.
2.5) Optional: Per-player invoicing for duos / bands (player → hirer)
This mode lets each player send you their own invoice so SG is paid per player at source (fair, transparent, and lower admin for the act).
Either the act owner or the hirer (agent/venue) can enable it per act / per relationship; once enabled, future bookings for that act follow the player→hirer model.
You’ll receive one invoice per player; each sole-trader player’s SG (GST-free) is shown so you can pay their fund directly.

3) Understand the Artist invoice you’ll receive
You receive Artist Tax Invoices only.
Invoice total = artist’s fee (+ GST if they’re GST-registered).
An SG Payable panel appears below the totals for sole-trader artists, showing the SG amount (no GST) and fund details.
SG is not included in the invoice total; you pay it separately to the fund by the due date.
4) Track & reconcile SG in Super Ledgers
Path: Super Ledgers → Super I Owe
Filter by Month / Quarter / Custom.
Use Related Invoice to spot-check rows.
Export CSV for clearing houses or Sync With Xero (Venue Pro).
Mark items Paid after remitting (keep PRNs/confirmations).

5) When do I actually pay SG?
Usually at quarter-end. Due dates are 28 Oct, 28 Jan, 28 Apr, 28 Jul.
Until then, focus on: correct fee model per booking and ensuring sole-trader artists have super details in HG.
6) Email template to request artist details (copy/paste)
Subject: Action needed: Super details in Hot Giggity
Hi [First name],
To comply with Australian super laws and keep payments on time, please log in to Hot Giggity and update your Legal Entity and (if you’re a Sole Trader) your Superannuation details.
Vist: Manage → My Personal Profile → Financial → Superannuation
Sole Trader → add Fund name, ABN, USI, Member number and Save.
Company/Partnership/Trust/Other → set Legal Entity accordingly.
Please complete this by [date] so we’re ready ahead of the [quarter] deadline (28 [Oct/Jan/Apr/Jul]). If details are missing, invoice payment may be delayed until provided.

7) Suggested clause for your bookings (optional)
Where the performer is a Sole Trader, the hirer pays Superannuation Guarantee (SG) to the performer’s nominated fund. The performer agrees to provide accurate superannuation details (Fund name, ABN, USI, Member number) in Hot Giggity prior to invoice approval. If details are not provided, the venue may delay invoice payment until supplied. The performer indemnifies the venue for delays or penalties arising from failure to provide accurate and timely superannuation details.
8) Quick audit checklist
Roster sweep: sole-trader artists show Super Details Added ✓ (or you’ve requested details).
Staff understand the booking toggle (Inclusive vs Plus).
You know Artist invoice behaviour (SG panel not in total).
Super I Owe workflow is clear (CSV/Sync With Xero; mark Paid).
Quarter dates in diary (pay by the 28th after quarter-end).
